Private Beta Privacy Notice

This notice describes the current invite-only field beta. It is published for transparency while Plastic IQ completes counsel review; it is not the final public-release policy.
Information Plastic IQ processes
Plastic IQ may process account and revocable device-session information; customer or prospect details entered or confirmed by an authorized representative; one-time location coordinates when the representative explicitly approves a check-in or nearby-business search; photos selected or captured by the representative; visible product-label text; AI sizing and matching results; sales-visit notes; feedback; and quote or sample requests. Diagnostic events are designed to omit passwords, tokens, photo contents, precise location, and customer details.
How the information is used
We use the information to authenticate authorized users, size objects and applications, analyze visible product details, recommend liners or covers, preserve private customer-visit records, fulfill requests, improve matching quality, protect the service, and diagnose errors. Plastic IQ does not sell beta participant data or use it for cross-context behavioral advertising.
Photos and location
The app displays a storage notice before a photo is captured or uploaded. Originals are stored in the tenant-private Capture Archive and are not given a public URL. Customer-linked photos require the representative to confirm that the customer or site permits collection. During the beta, location is requested only while the app is in use and after a clear, user-initiated action. A representative may save a one-time visit check-in or use the coordinates to request nearby business suggestions. Plastic IQ does not use continuous or background location tracking.
Service providers
Plastic IQ uses DigitalOcean for application, database, backup, and encrypted private-object infrastructure; OpenAI for requested photo analysis; Google Workspace for operational email; and Apple TestFlight for invited iPhone distribution when enabled. Business lookup may use OpenStreetMap services or, only when separately enabled, Google Places. A nearby-business request can send the approved coordinates and search category to the selected directory provider. Photo analysis is sent through the Plastic IQ backend; provider credentials are not embedded in the app. OpenAI API data is not used to train OpenAI models by default under OpenAI's published API data controls, although eligible provider security logs may be retained for a limited period. Plastic IQ's private archive remains the operational record.
Retention and deletion
During the private beta, account, visit, request, and capture records are retained until an authorized request is reviewed or Plastic IQ applies a counsel-approved retention schedule. Approved photo deletion removes active application access and records the action. Because private object versioning and encrypted recovery backups protect against accidental loss, an older encrypted copy may remain for a limited recovery period until its version or backup expires or is separately purged. Legal, security, business-record, or contractual duties may require limited continued retention. Draft periods are maintained in the internal governance register but are not activated until counsel approval and operational verification.
Your choices and requests
Authorized users can open Account & devices → Privacy & data controls to submit a tracked request for access, correction, export, deletion, account revocation, or consent withdrawal. Requests may also be emailed to steve@plasticiqllc.com. Plastic IQ verifies the requester, tenant, scope, and any applicable hold before changing or deleting a record. Location can be declined without enabling background collection, and a proposed photo can be cancelled before upload.
Security
The beta uses HTTPS, individual accounts, slow-hashed passwords, hashed and revocable device sessions, tenant membership checks, application-layer encryption for archived photos, private media storage, audit records, and encrypted recovery copies. No system can guarantee absolute security; lost devices should be revoked promptly from Account & devices.
